This notice explains how Anthony Cleaning Services Ltd collects, uses and protects personal data when you visit this website, make an enquiry, or use our cleaning, logistics and staffing services. We are committed to handling your information lawfully and transparently under the UK GDPR and the Data Protection Act 2018.

1. Who we are

Anthony Cleaning Services Ltd is the "data controller" for the personal data described in this notice, which means we decide how and why it is used.

  • Company: Anthony Cleaning Services Ltd
  • Registered office: Flat 75, 26 High Street, Slough, England, SL1 1EP
  • Company number: 16797560
  • Email: contact@anthofacilitiesmanagement.co.uk
  • WhatsApp / mobile: 07845 092624

2. Information we collect

When you visit this website

This website does not use cookies, analytics or advertising trackers, and it has no contact forms. We do not build profiles of visitors and we cannot identify you from a visit alone.

Two things still involve third parties:

  • Hosting logs. Our hosting provider, Hostinger, automatically records technical information such as your IP address, browser type and the pages requested. This is standard server logging, used to keep the site available and secure.
  • Google Fonts. The site loads typefaces from Google's servers, so Google receives your IP address when a page loads. This is provided by Google Ireland Limited. See Google's privacy policy.

When you contact us

If you email us, message us on WhatsApp or call us, we receive whatever you choose to share. Typically that is your name, contact details, the address of the property, and a description of the work you need. Please do not send us sensitive personal information unless we have asked for it.

When you become a client

To deliver a job we may also hold billing and invoicing details, site access arrangements such as key or alarm instructions, and a record of the work carried out and any correspondence about it.

3. Why we use it, and our lawful basis

  • Responding to your enquiry and preparing a quote — our legitimate interest in answering people who approach us about our services.
  • Delivering the services you have booked, scheduling crews and invoicing — necessary for the performance of our contract with you.
  • Keeping accounting and tax records — necessary to comply with our legal obligations.
  • Keeping the website and our systems secure — our legitimate interest in protecting our business and the people who contact us.

We do not sell personal data, and we do not use it for automated decision-making or profiling. We do not send marketing emails unless you have asked us to; if we ever do, you can opt out at any time.

4. Who we share it with

We share personal data only where it is needed to run the business:

  • Our staff and vetted subcontractors, so they can attend the site and carry out the work. They receive only what the job requires.
  • Google (Google Workspace / Gmail), which hosts our email and therefore processes correspondence you send us.
  • Meta, if you choose to contact us through WhatsApp. Your use of WhatsApp is governed by its own privacy terms.
  • QuickBooks (Intuit), which we use to issue invoices and keep accounting records.
  • Our bank, to receive payment by bank transfer.
  • Our accountant and professional advisers, where relevant.
  • Authorities or regulators, where we are legally required to disclose information.

Some of these providers are based outside the UK, including in the United States. Where personal data is transferred abroad, it is protected by safeguards recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Addendum.

5. How long we keep it

  • Enquiries and quotes that do not become work: 12 months, then deleted.
  • Client and job records: for the duration of the relationship and then 6 years after the service ends, in line with our tax, accounting and contractual obligations.
  • Accounting records: six years from the end of the relevant financial year, as HMRC requires.

6. How we protect it

We use access-controlled accounts and reputable service providers, limit access to those who need it to do their job, and keep site access details such as keys and alarm codes confidential. No system can be guaranteed completely secure, but we take reasonable steps to protect your information and to respond quickly if something goes wrong.

7. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • ask us to delete data where there is no good reason for us to keep it;
  • ask us to restrict how we use it, or object to our use of it where we rely on legitimate interests;
  • ask us to transfer certain data to you or another provider;
  • withdraw consent at any time, where we relied on consent.

To exercise any of these rights, email contact@anthofacilitiesmanagement.co.uk. We will respond within one month. There is normally no charge.

8. Complaints

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:

  • Website: ico.org.uk/make-a-complaint
  • Helpline: 0303 123 1113

9. Changes to this notice

We may update this notice from time to time. Any changes will be published on this page with a revised "last updated" date.
